Power Apps: managing tasks and expense reports at your fingertips

A short time ago, we worked on a project for activity reporting and expense reimbursement tracking. The goal of the project was to digitize the process and open the company’s business to mobile apps, aiming for more accurate data, reduced management times, and saving processing times, allowing resources to be reallocated to more specialized, high-value tasks.

What tools were used? Microsoft provides a simple, no-code platform for developing mobile applications accessible to company users. With Power Apps, we managed to develop – in just a few days of work – a modern, functional, and efficient application connected to the company’s internal management systems. By integrating it with the power of Power Automate automations, we built notifications for users, along with controls and verifications on the data entered, setting expense ceilings and alerts for any missing reports.

How does the app technically work? The app is simple. Users can enter their activities and hours worked on customer projects by selecting data on mobile devices, which directly pull from the management system (in our case, two systems: one cloud-based and one on-premise). Likewise, expense reports are linked to the customer’s billing, with profiling to define the type of expense (meal or accommodation) or mileage reimbursements. The data is downloaded in real-time into the company’s management systems (specifically, the ERP for accounting and finance and Microsoft Dynamics CRM), allowing authorized personnel to verify and approve the activities and expenses.

What are the main benefits of this project? We eliminated the use of various Excel files the company previously relied on, reduced potential transcription errors, and this new solution has been greatly appreciated by company users, who value the shift from the previous management system, thus increasing overall engagement. One notable point is the significant amount of improvement feedback from employees! Another key element is the ability to now monitor real-time labor costs on projects, thanks to the natural integration with Power BI for statistical analysis – an essential tool for understanding the direction the business is heading.
